Production Contracts and Accreditation Manager, Frieze

Frieze is the world’s leading platform for modern and contemporary art for scholars, connoisseurs, collectors, and the general public alike. Frieze comprises three magazines – frieze, Frieze Masters Magazine and Frieze Week – and five international art fairs – Frieze London, Frieze Masters, Frieze New York, Frieze Los Angeles and Frieze Seoul (launching September 2022). In addition, this October, Frieze will launch No.9 Cork Street, a hub for visiting international galleries in the heart of Mayfair, London. Frieze is part of the IMG network. IMG is a global leader in sports, fashion, events and media and is a subsidiary of Endeavor, a global entertainment, sports and content company.

To be the contact point for exhibitors throughout the year and to be responsible for all administrative and technical aspects of their participation in the fair.

Contract Summary

Main Purpose of this position: To manage the Production Department contracts, the fair security and accreditation and any mass guest transportation required at the fairs. This role will work closely both with internal departments and the external production management companies, as well as a number of contractors in different countries.

Reporting to: Senior Production Manager

Key Accountabilities

  • Accreditation management & implementation
  • Recruitment and training of temporary Pass Manager and Pass Assistant roles for all fairs
  • Creating improved/simpler processes and systems to streamline existing processes
  • Responsible for accreditation approvals and application systems
  • Guest Traffic & Transportation plans and implementation
  • Oversee the Post Room on site at the fairs
  • Contract management overview & timeline
  • Act as department liaison with Endeavor Legal and Risk Management
  • Ensuring tenders/RFQs are collated and sent in a timely fashion
  • Populate contract templates and act as intermediary between the Legal team for any contract queries once the first drafts have gone out (with support from the relevant manager/owner of the relationship)
  • Insurance management – vendors/contractors
  • Service Level Agreements – set up system for assessing & managing
  • Arrange briefings & debriefs with relevant stakeholders
  • Respond quickly and calmly to on site requests from staff, exhibitors and contractors
  • Maintain strict confidentiality regarding all contract dealings and incident reporting
  • Provide efficient and effective troubleshooting during the event
  • Assist in compiling a full evaluation/debrief report for the Production Director to present to the Senior Management team post-events
  • Keep up with developments in the contemporary art world and event production
  • Contribute to improving other production processes across the broader business
  • Liaise with all internal fair departments, as required, managing to strict deadlines
  • Ensure H&S, CDM and fire regulations are correctly adhered to on site
  • Management of incident and accident reporting onsite - case response, information collation, contractor follow up and logging of all reports
  • Engagement with Endeavor H+S and Risk Management divisions to ensure Frieze is following most up to date company and industry standards.
  • Support/advise on logistical needs of the wider team and other events outside of the Fairs, where needed


Required Qualifications

  • Contract management
  • Some accreditation and/or security management
  • Client-facing event experience
  • At least 3 years working in live events
  • Strong written and oral communication skills
  • Strong interpersonal and customer service skills
  • Ability to work both independently and as part of a team
  • Excellent attention to detail
  • Ability to effectively prioritise and execute tasks in a high-pressure environment
  • Ability to meet deadlines and manage other stakeholders to do the same



  • Health & Safety qualification – in UK and/or US
  • Clean Driving License
  • Experience working on cultural and commercial events


Working Conditions

  • This is a permanent position.
  • Please note, remote working set up until lockdown restrictions have been lifted. Thereafter, the role would be based at 1 Surrey Street
    London WC2R 2ND.
  • Working hours are 10:00 – 18:00, Monday to Friday.
  • Occasional travel and weekend work may be required
  • Based in London with international travel to USA and Korea
