Fair Assistant, Frieze London & Frieze Masters

Contract Summary

As the key support to the Fair Directors and Manager, you will be involved with a variety of projects, including the completion of specific projects across Frieze London and Frieze Masters, the production of research and analyses to assist with decision making for the fairs, and day to day support to the Fair Directors and Manager.

Key Accountabilities

Project planning and delivery:

  • Checking progress of projects, keeping track of timelines and deadlines
  • Action chasing between meetings to ensure project is on track
  • Keeping track of fair related clash charts
  • Compiling and reporting budget updates
  • Collecting data and feeding back on key steps
  • Responding to project related queries
  • Troubleshooting and handling any issues that arise
  • Feeding back daily to the Fair Manager with key updates
  • Feeding back to the Fair Directors as requested
  • Ad-hoc research and administrative tasks

PA/Admin support:

  • Managing Fair Directors diary through pro-active time management and prioritisation
  • Arranging meetings internally and externally
  • Agenda setting, minute taking, action tracking and chasing
  • Filing and keeping track of Fair/Exec Directors expenses
  • Filing fair related invoices
  • Booking travel for Fair /Exec Directors

Required Qualifications

Mandatory

  • Project management skills
  • Utmost discretion and confidentiality
  • Administrative or PA experience within a busy environment

Desirable

  • An interest in contemporary art
  • Experience using Macs
  • Experience using Microsoft software

Working Conditions

  • This is a permanent position
  • Please note, remote working set up until lockdown restrictions have been lifted. Thereafter, the role would be based at Surrey Street
  • Occasional travel and weekend work may be required
  • Extended/unsociable hours will be required when meeting project deadlines and when on site
