Editorial Coordinator

Frieze is a media and events company that comprises three publications, frieze magazine, Frieze Masters Magazine and Frieze Week; and five international art fairs, Frieze London, Frieze LA, Frieze New York, Frieze Seoul (launching September 2022) and Frieze Masters; regular talks and summits, led by frieze editors; and frieze.com – the definitive resource for contemporary art and culture.

Key Responsibilities and Accountabilities
Layout and Proofing
• Proof all sections of frieze and Frieze Masters at least twice
• Ensure that the editorial team proof both black-and-white and colour proofs adequately and on time, liaising with external proofreading staff as required
• Enter proofing changes and ensure any design issues are resolved
• Traffic proofs to editors for sign-off and input any corrections and feedback/resolve any design-related comments as appropriate
• Compile the running order for every issue and circulate to the publishing team, update as required during the layout period
• Circulate the production schedule to the publishing team ahead of each issue
• Ensure that the page target for editorial is not exceeded and that the combination of advertising and editorial pages produces a printable and cost-effective pagination
• Manage the workflow around the reviews section for print, chasing copy and images as required and setting the running order
• Update and monitor the frieze editorial style sheet

Print Management
• Liaise with the design team on any special paper treatments (different stock/pantones/foils, etc.) that they wish to use in printing each issue
• In tandem with the Distribution and Circulation Manager, set an adequate yet cost-effective print run for each issue, allowing for distribution, subs, A-list and marketing copies
• Update the printers on the progress of production. Supply any information they may need and obtain any extra quotes from them for inserts or special features for the magazine, ensuring that these do not exceed the agreed budget for each issue
• Compile the print order for each issue, including the print run and information concerning any inserts and/or special treatments, and supply it to the printers in a timely fashion
• Ensure the printers remain adequately informed to be able to cover paper stock for printing the magazine
• Check all final editorial PDFs and upload to the printers via the Portal to deadline
Liaise with the printers on the delivery of improofs and ensure that any corrections to files are made and PDFs re-uploaded as required
• Manage print production of additional products, such as limited editions. Obtain quotes to ensure competitive pricing and liaise with the design team, Content Operations Manager and Distribution and Circulation Manager to set the schedule, paper stock, packaging, and print run
• Obtain quotes from alternate printers annually, including logistics, to ensure competitive pricing. Liaise with the printers and design team on printing tests as needed

Scheduling and Picture Research Management
• Assign and oversee picture research for each issue, leading weekly meetings and monitoring image and design workflows
• Manage the picture research budget for each issue, communicating any potential overspend to the Content Operations Manager
• Line manage the Berlin Editorial Trainee, who works on picture research and assists with proofing the magazine
• Devise and manage a filing system for image licenses
• Devise the yearly reviews posting schedule for frieze.com and circulate it to editors and the Web Content Coordinator
• Devise the online posting schedule for each issue and assign uploads

Contributing Writers
• Once confirmed, draft all the Contributing Writer contracts and get sign-off on them from the relevant editors, who should send them out
• Sign off and keep track of all invoices from Contributing Writers and pass on to the accounts team, ensuring that the budget stays on track each year

Working Conditions
• This is a fixed term position (12 Months).
• The role is based at Surrey Street, London.
• Working hours are 10:00-18:00 Monday to Friday
• Occasional travel and weekend work may be required.
